Studiora — Full User Guide

Real-time multi-camera event photography for studios, crews & clients.

This guide explains how to set up and use Studiora, step by step, for all three types of users. It follows the same Studiora you see on the landing page.

Studio Owner

Runs the studio — creates events, manages crew, invoices, and analytics.

Photographer / Crew

Joins an event, connects a camera, shoots, and uploads photos live.

Client / Guest

Opens the event gallery (app or web) to view, favorite, and download photos.

Only the Studio Owner needs an account. Photographers and clients simply use a code or QR that the owner shares.

2. Understanding the codes

Every event automatically creates a set of short codes. Share the right one with the right person:

You can share each as plain text, a copy-to-clipboard tap, a share link, or a QR code. Scanning the QR opens the right screen automatically — for clients, the QR opens the gallery in a web browser (no app needed).

3. Owner Guide — full setup & daily use

Step 1 — Create your account

  1. Open the app. On the login screen, tap Create Account (or “Sign Up”).
  2. Fill in your Full Name, Email address, Role → Studio Owner, a Password (6+ characters), and Confirm Password.
  3. Tick I agree to Terms & Conditions, then tap Create Account — you'll be signed in automatically.
Forgot password? On the login screen tap Forgot Password → enter your email + registered name to verify → set a new password → log in again.

Step 2 — (Optional) Turn on a PIN lock

  1. Go to Settings → Security.
  2. Turn PIN Lock on, then set a 4-digit PIN (enter it twice to confirm).
  3. If your phone supports it, enable Face ID / Touch ID for faster unlock.

Step 3 — Set up your studio details

These details auto-fill on every invoice.

  1. Go to Settings → Invoice Settings (or Settings → Manage Studios).
  2. Enter your Studio name, address, GST number, phone, email.
  3. Set default Payment terms, Footer note, and CGST / SGST % (default 9% each), then tap Save.

Step 4 — Create your first event

  1. From the Dashboard (or Events screen), tap Create Event.
  2. Basic info: event title, client name, client email/phone, venue, and event type.
  3. Dates: pick a Start date and End date (multi-day events are supported).
  4. Crew: for each day, add crew members and choose a role.
  5. Sub-events (optional): add ceremonies with a day + start/end time so clients can browse photos by ceremony.
  6. Gallery settings: set photo compression, and turn on Requires approval if needed.
  7. Invoice (optional): enter an amount to auto-generate an invoice, then tap Create Event.

A confirmation appears with your event codes (PH- CR- CL-) and QR codes.

Step 5 — Share the codes

Open the event to reach the Event Details screen. There you'll find two cards:

  • Photographer Access — QR + PH- code. Copy or Share this with your crew.
  • Client Gallery — QR + CL- code. Their QR opens the gallery directly in the browser — no install needed.

Step 6 — Run the event (live)

  • Upload progress — total photos uploaded, broken down per crew member.
  • Crew status — who is online and how many photos each has shot.
  • Publish toggle — turn the client gallery Published on/off.
  • Gallery expiry — optionally set a date when the gallery link stops working.

Step 7 — Invoice the client

  1. On Event Details, tap the receipt icon (or go to Invoices).
  2. Line items pre-fill from the event; add/remove items as needed.
  3. Adjust CGST / SGST; the Grand Total calculates automatically.
  4. Tap Preview & Share to generate a PDF and send it.
  5. Set the status Draft → Sent → Paid as it progresses.

Step 8 — Review performance

Go to Analytics for totals, crew performance, and gallery engagement (visits, views, downloads). The Activity Log shows every action with search and filters.

4. Photographer / Crew Guide

You do not need an account. You just need the PH- or CR- code (or QR) from the studio owner.

Step 1 — Join the event

Open the app → Join Event, type your PH-/CR- code (or tap Scan QR Code and point at the event QR) → it joins automatically.

Step 2 — Enter your details (first time only)

  • Full Name (required), Mobile Number (required), Email (optional), and Profession.

Tap Join Event. The app remembers you for next time.

Step 3 — Connect your camera

Tap Connect Camera. Two modes:

  • Wi-Fi (PTP-IP): join the camera's hotspot (choose “Stay connected” if it warns no internet), then Scan for Camera. If scanning fails, use the Manual IP tab (port 15740).
  • FTP (recommended): every shutter click auto-uploads. Turn on your phone's hotspot, Start FTP Server in the app (port 2121), connect the camera to that hotspot, then enter the IP / port / user studio / pass studio on the camera, with Auto Transfer ON. Turn on Auto-start server so it reconnects every future shoot.

Step 4 — Shoot & watch uploads

  • Photos from a connected DSLR upload automatically in the background.
  • Open Upload Queue to track Pending → Uploading → Done → Failed; Retry All re-sends failures.
  • Tap View Gallery to see every crew member's photos in a live masonry grid (new photos slide in with a NEW badge).
Keep the app open or in the background while uploads finish — don't force-close it.

5. Client / Guest Guide

Clients never log in. You just need the CL- code or QR from your photographer/studio.

The easiest way — scan the QR (web, no app)

  1. Scan the QR your studio sent, or open the link they shared.
  2. It opens the gallery in your phone's browser — nothing to install.
  3. Fill in the quick form — Name (required), Email (optional), Mobile (required) — tick the consent, and tap Get My Photos.

Browsing & saving your photos

  • Filter by ceremony and by photographer, or search a photographer by name.
  • Favorite with the heart, open full screen (swipe / arrow keys, pinch to zoom), and Download to save.
  • Switch the gallery Theme (Onyx, Ivory, Noir, Rosé, Sage, Azure).
If the event is still being shot, you'll see a Live badge and new photos appear automatically. Galleries may have an expiry date — download your favorites before it expires.

6. Tips & Troubleshooting

Camera won't connect over Wi-Fi

Make sure your phone stays on the camera's hotspot (turn off “Smart Wi-Fi switch”). Try the Manual IP tab, or switch to FTP mode (often more reliable for Canon/Nikon).

Uploads stuck or “Failed”

Open Upload Queue and tap Retry All. Keep the app foregrounded until uploads complete.

Client can't open the gallery

Double-check the CL- code (case-insensitive). If it says “No event exists”, ask the studio to confirm the gallery is Published and not expired.

Works offline: dashboards and galleries cache locally. Created events, bookings, and invoices sync automatically when you're back online.
